Operations Assistant

Job Title: Operations Assistant
Reports to: Operations Manager
FLSA Status: Full-time; Non-Exempt
Career Level: Advanced (purple)

Purpose: The Operations Assistant position is a multi-tasker’s dream come true. You will wear a lot of different hats and be expected to adapt on the fly to any situation that comes up. You will be responsible for anticipating issues as well as monitoring multiple reports to fix issues that arise. The Operations Assistant will work with the Operations Manager to onboard and manage major accounts, have working knowledge of EDI, and be a team player to keep operations running smoothly.

This position is based at our headquarters in Michigan City, IN

Duties and Responsibilities:

⦁ End of Month Activities:

⦁ POP Inventory Decrement
⦁ Open Order Monitoring

⦁ Item Fulfillments Monitoring
⦁ Sales Orders Monitoring
⦁ Ship Station Monitoring

⦁ Reporting

⦁ Manage inventory locations as they become inactive or disco/gone
⦁ Monitor inventory levels of Mystery Items or other special promotions
⦁ Monitor and fix inventory issues related to Warehouse vs Bin quantities not matching, negative inventory, inactive items
⦁ Major Accounts
⦁ New Customers
⦁ Compliance Manuals
⦁ Work with Sales team to review requirements – packing/shipping/etc.
⦁ Work with NS Admin for new EDI customers
⦁ Run through test orders to ensure we are fully integrated
⦁ Assist DC with order questions
⦁ Work side by side to ensure the first order goes out without issues
⦁ Current Majors
⦁ Amazon DC Order Template OOS
⦁ Confirm Orders are good for Amazon team to Process
⦁ Verify all complete orders are fully committed and billed
⦁ Edit SO, IF, INV of OOS Items before
⦁ Adjust
⦁ Send Tracking to Sales Team
⦁ Pack/Ship Majors
⦁ Manually mark packed and shipped in NS for Majors that do not use SS to ship out (Amazon, QVC, etc.)
⦁ Investigate Chargebacks
⦁ What caused it and how to fix moving forward
⦁ Update SOPs as needed
⦁ SOP’s
⦁ Assist in writing/maintaining accuracy of SOP’s
⦁ Look for areas of improvement and implement
⦁ Shipping Schedule
⦁ Maintain Accuracy on DC calendar for ship dates and order quantity
⦁ Advise when Order Entry can bill orders for their ship date
⦁ Be sure we are meeting the shipping windows and not overloading EDI customers shipping in the same day
⦁ Act as a backup to Fulfilment Liaison when needed
⦁ Print pick tickets
⦁ Handle OOS orders
⦁ Work with CX/Sales on order issues

Skills & Knowledge Required
⦁ High School diploma or GED
⦁ Ability to read with good comprehension and precise mathematical skills
⦁ Accurate and efficient keyboarding skills
⦁ Must be a self-starter, results-oriented, and a team player
⦁ Excellent verbal and written communications skills
⦁ Excellent skills managing multiple competing priorities daily
⦁ Strong critical thinking and logical reasoning skills
⦁ Excellent organizational skills, high attention to detail, time management, and project management skills
⦁ Outstanding Excel skills
⦁ Competent with computer software such as Outlook
⦁ Ability to utilize the in-house ERP and OWMS software systems within 30-days of employment

Physical Demands and Working Conditions
⦁ Communication with coworkers requires an ability to express oneself as well as perceive and exchange ideas
⦁ Viewing computer terminal, perceiving, and transcribing data with accuracy and keyboarding fill a portion of the day in a warehouse environment
⦁ Walking while carrying objects, crouching, standing, bending, kneeling, reaching with hands and arms, and grasping objects fill a portion of the day in a warehouse environment
⦁ Light work: Exerting up to 10 pounds of force occasionally and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects
⦁ The employee is often required to stand and walk throughout the entire day
⦁ Reliable physical attendance is required
⦁ The employee is required to stay awake throughout the shift
