Sales Coordinator

Job Title:                     Sales Coordinator       

Reports to:                  VP Sales & Customer Experience

FLSA Status:                Full-time, Non-Exempt

Career Level:               Essential (orange)


Purpose:  The Sales Coordinator is responsible for partnering closely with both the Sales and Customer Experience Team to ensure sales related documents, tools, and systems are up to date and functioning allowing team members to maximize results.  They are also responsible for managing internal and external samples and collateral needed for all sales channels.  The Sales Coordinator is able to complete administrative duties in great detail and is an expert in excel.

This position will be based at our company headquarters, located in Michigan City, IN.


Duties & Responsibilities:

  1. Sales Administration
    1. Develops and maintains broad understanding of NetSuite (CRM tool) and is able to perform basic functions of a CX and OE specialist
    2. Execute special projects within NetSuite including but not limited to account-based special instructions, special invoicing, account maintenance, etc.
    3. Manage goals by territory and channel within NetSuite; ensuring monthly and yearly goals are up to date and pulling correctly in automated reports
    4. Manage product bundles within NetSuite
    5. Manage wholesale dropbox to ensure sales tools and product images are up to date and readily available for internal and external use; work with marketing to update materials as needed
    6. Manage rep-facing files and image uploads for Brandwise, Pharos, Shadowbox and more
    7. Manage wholesale distribution list for emails and catalogs
    8. Maintain heat map and store locator by product category and channel
    9. Work with sales team to prepare preliminary templates and presentations as prescribed by VP of Sales, National Sales Manager, and Key Account Managers
    10. Work with Marketing Department to ensure sales collateral (POP, shipping inserts, etc) is up to date and in stock by launch of season
      1. Update SOPs to ensure Distribution Center and Customer Experience Team understand what to include with each wholesale order
    11. Coordinate sales team travel and hotel rooms for trade shows and sales calls


  1. Showroom and Sample Management
    1. Manage all sample requests to support sales team each season, ensuring samples arrive on time and in full; this will include the ordering and shipping of:
      1. Rep and broker samples
      2. Showroom samples
  • National account samples
  1. Sales team samples
  1. Work with National Sales Manager and Marketing department to ensure enough samples are readily available in a timely manner execute tradeshow planograms
  2. Ensure all sales materials are up to date and readily available at all showrooms across the US
  3. Partner with marketing to provide sales team with product planogram for each showroom, ensure efficient and visually pleasing product displays at each tradeshow


  1. Preforms Order Entry duties as prescribed by Customer Experience Manager and National Sales Manager


  1. Ability to travel to tradeshows as prescribed by the VP of Sales and CX


Knowledge, Skills, and Abilities:


  • Bachelor’s Degree required; 1-3 years’ work experience
  • Expert in Microsoft Excel, Power Point, Outlook, and Microsoft Office
  • Accurate and efficient keyboarding skills as well as the ability to navigate websites and proprietary software are required.
  • Must be a self-starter, results-oriented, and analytical with strong attention to detail
  • The ability to manage multiple priorities independently.
  • Requires strong written and verbal communication skills, organizational skills
  • A professional appearance, etiquette and excellent verbal skills are required.
  • Empathic listening skills and careful speaking skills.
  • The ability to utilize the in-house software systems.


Physical Demands and Working Conditions:


  • Communication via telephone, emails, online chat and co-workers
  • Viewing computer terminal, perceiving, and transcribing data with accuracy, and keyboarding fill much of the day in an office environment.
  • The employee is required to maintain a calm and professional demeanor while handling multiple priorities.
  • The employee is not exposed to adverse environmental conditions, working primarily in an office environment.
  • Light work: Exerting up to 10 pounds of force occasionally and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
